Administrative Assistant - Parks & Recreation

Qualified individual will perform a variety of administrative tasks providing support to department staff.  Responsibilities include: receiving and processing incoming calls and visitors; preparing and maintaining complex records, detailed files and databases; typing a variety of documents; preparing a variety of reports (often complex and/or confidential); receiving, processing and entering information (often sensitive) into computer system; verifying statistical and other records for accuracy and completeness; preparing and maintaining information on City website and social media; maintaining and coordinating office operations; maintaining calendars and scheduling appointments; making travel arrangements; assisting in setup and clean up for meetings; sending out announcements and reminders; maintaining a variety of operational, bookkeeping, program records, and accounts; assisting with development, preparation, and maintenance of departmental budget; maintaining petty cash; processing check requests; preparing and making bank deposits; maintaining payroll records for department; responding to inquiries or complaints on operations, policies, and procedures; and attending and taking minutes of various board meetings.

Hours โ€“ Monday โ€“ Friday, 8:30am โ€“ 5:30pm  

To Compete in the Selection Process:

Associates degree with course work in business and considerable experience in administrative support or office operations or equivalent combination of education and experience.  Must possess a thorough knowledge of standard office practices, procedures, equipment and secretarial techniques; comprehensive knowledge of business English, spelling and arithmetic; ability to keep confidential office records and to prepare accurate reports from file sources; ability to perform and organize work independently; ability to operate personal computers including thorough knowledge of applicable software packages to include Microsoft Word, Excel, Power Point, Outlook, Explorer and Photo Shop software;  ability to learn quickly and effectively use programs such as ActiveNet and MUNIS; ability to prepare effective correspondence on routine matters and to perform routine office management details without referral to supervisor; ability to establish and maintain effective working relationships with associates and the general public.
